Terms and Conditions
Visual Africa Travel (V.A.T)organizes safaris, beach holidays, cultural tours, trekking trips, and tailor-made travel across Tanzania. When you book a trip with us, you agree to follow the Terms and Conditions below. Please read them carefully before confirming your reservation.
Local standards, transport, and medical services in Tanzania may be different from those in other countries. All guests are expected to follow local laws and respect wildlife, culture, and the environment. These Terms and Conditions may be updated, but the version you receive at the time of booking will apply to your trip.
1. Changes to Itineraries (Amendments)
All trips depend on availability and are not fully confirmed until we secure your accommodations and services. If a hotel or activity is unavailable, we will offer a similar or better option. If the alternative is more expensive, the price difference will be added to your booking. If none of the options suit you, you may choose a full refund.
Visual Africa Travel may adjust your itinerary if unexpected events occur (weather, road conditions, operational issues). We will always inform you as soon as possible.
2. Booking Process
When you are happy with your travel plan, we will send you a booking form to complete and return by email. Travel insurance is strongly recommended at this stage.
After receiving your completed form, we will confirm all services. Once everything is secured, you will receive an invoice. This invoice is your official booking confirmation.
4. Payments
- A 30% deposit is required within 14 days of receiving your invoice.
- The remaining balance must be paid 56 days before your arrival.
- Bookings made less than 56 days before travel must be paid in full.
- Payments can be made in USD or EUR.
- If exchange rates change significantly before your final payment, the trip cost may be adjusted. If payments are late, we may cancel your trip and apply a cancellation fee of 30% of the total cost.
5. Cancellation by the Client
All cancellations must be emailed to us. Refunds depend on the date we receive your cancellation notice. No refunds will be given for unused services, late arrivals, missed activities, or no-shows.
6. Price Changes (Surcharges)
Trip costs may change if there are increases in fuel, government taxes, park fees, or other official charges. Prices cannot change within 30 days of your travel date. If a surcharge is more than 10% of your total trip price, you may cancel within 14 days of notification and receive a refund.
7. Accommodation Rules
Accommodation is provided only for the guests listed on your booking form.Check-out time is normally 12:00 p.m.
Guests must take care of lodge/camp property. Damaged or lost items (including keys) must be paid for.
8. Transport
Our safari vehicles are well maintained, but delays may occur due to road conditions, weather, or unforeseen issues. Only trained and authorized guides may drive our vehicles. Their decisions on safety and routes must be followed.
9. Insurance
Travel insurance is mandatory. Your insurance should cover:
- Medical treatment
- Emergency evacuation
- Trip cancellation
- Loss or damage of luggage
- All activities you plan to do
We are not responsible for issues with international flights or services not booked through us.
10. Wildlife Viewing
Wild animals move freely, so sightings can never be guaranteed.For your safety:
- Always follow your guide’s instructions.
- Never approach animals too closely.
- Stay inside the vehicle unless the guide says it is safe.
11. Special Requests
Please let us know any special requirements (diet, mobility needs, room requests) before or during booking. We will do our best to arrange them, but we cannot guarantee all requests. Some may have additional fees.
12. Unforeseen Events (Force Majeure)
Visual Africa Travel is not responsible for delays or changes caused by events outside our control, such as:
- Heavy rain or floods
- Road closures
- Political issues
- Strikes
- Natural disasters
- Security restrictions
If these events affect your trip, we will assist where possible, but refunds may be limited to costs we can recover.
13. Flights and Seating
We do not control aircraft type, seating allocation, or flight changes made by airlines.
14. Complaints
If you experience a problem during your trip, inform your guide or our office immediately so we can assist. If you still need to report the issue, please send a written complaint no later than 7 days after the end of your tour.
15. Liability
Visual Africa Travel is not responsible for:
- Personal injury
- Illness
- Loss or damage of belongings
- Accidents or death
This is why travel insurance is required. Guests should ensure they are physically fit for the activities in their itinerary.
16. Tanzania Visa
You must obtain your Tanzania Tourist Visa before arrival or at the airport. We recommend applying online through the official portal.
17. Use of Website Content
You may read, download, or print information from our website for personal use only. Commercial use, copying, or distributing our content without permission is not allowed. We follow privacy standards and protect your personal information.
18. Acceptance of Terms
By submitting your booking form and making payments, you confirm that you understand and agree to these Terms and Conditions.
